Required ID Documentation

The required documents varies according to the service being requested. For detailed information on which documents to send, see the Required Documents page.

Sending ID Documentation

There are three ways you may send the ID: email, fax or postal mail.

  • Fax: Faxing is available at most convenience stores so it is an easy way to send your ID unless you have been in Japan for a number of years and you have the old-type Alien Registration Card.
    • Note: On the latest type Alien Registration Card, the large kanji across the top of the front side are black and the card copies easily. On the old type card, however, the large kanji at the top are white. (Check yours). The design of the old card is such that making a copy that can be read after faxing is very difficult and should not be attempted. It will just waste time and money. If your kanji are white, send by post or email only.
  • Post: Sending by postal mail will give us the best copies and if sent promptly will arrive before they need to be provided to NTT. The address is below.
  • Email: If you have access to a scanner, sending scans of your documentation is the fastest way to provide cleans copies of your ID or you may want to try making images with your digital camera. Email to the address on the automated response you'll receive after filing the online application. See instructions below

Following are instructions for the various ways of sending ID documentation.

Copying

To ensure clean usable copies, please follow these instructions carefully.

1. Where and how to copy:

Most convenience stores have copy machines and the staff will usually be willing to help you. If you don't speak any Japanese, write the needed size (200% or 300%, etc.) on a piece of paper and hand it to a clerk with your ID while pointing at the copy machine.

  • When they put the ID in the machine, say "usu-ku ni" to indicate you want it lightened.
  • If the copy is too dark, say "motto usuku ni" to indicate it should be even lighter.
  • If the copy is a little too light, say "chotto kuraku ni" to request it be a little darker.
  • Be sure the ID is not placed right at the edge of the glass as that may cause the edge to be cut off. It should be about 5 mm (1/4 inch) from the edge of the glass to make a good copy.

2. Enlarge

The documents should be enlarged to [FULL] page A4 (letter) size. Do not make color copies. Enlarge as follows:

  • Card ID, e.g., Alien Registration Certificate (ARC or "gaijin card") or SOFA (DOD-issued) ID: Enlarge 300%
  • Passport:For most standard sizes (U.S. Canada, Australia, New Zealand, etc.). Copy only single pages: Enlarge 200% Note: The page with your signature is not needed.
  • Other Documents: Enlarge as much as needed to make a [FULL] page (A4 or Letter-size) copy.

3. Lighten

When copying, the image should be lightened so the background designs on the ID are no longer visible:

  • Lighten until the background is gone but the signature is still visible.
  • If the background design is visible in the copy you use for faxing, i.e., it's not white, and/or the size is not [FULL PAGE] size, then it is very likely that your fax will not be accepted by NTT.

4. Check

After making the copies, look at them carefully:

  • Make sure that the edges of the documents are not cut off.
  • Make sure that all the letters and Japanese characters may be clearly seen.
  • If you can see the background on the copy, then the fax will probably be too dark to be readable after faxing.

Mail copies of the documents to:

Faxing

Fax to: 03-4570-0271

If faxing from a convenience store, the store staff will assist. Just hand them the documents and a piece of paper with the word "FAX" and the above fax number and they'll know what to do.

How to Use a Fax Machine

If you're faxing from your company or home, you may find the following instructions helpful:

  1. Put the documents (up to ten sheets on most machines) into the tray. There should be an icon on the tray showing whether the sheets go face up or face down.
  2. Push the phone number. Note: Do not pick up the handset first or push the call button to get a dial tone!
  3. Push the "Start" button. Usually, it's the largest button and is often marked with either "Start" in Japanese ("スタート") or an icon of an "I" within a diamond. Something like this: <I>
  4. When the machine finishes sending the fax. you will usually hear a short beep. If there was some sort of error in sending, you will usually hear a long beep tone (maybe five seconds long).

Email-Scan or Photo

Sending scans or photos of your documentation is the fastest way to provide cleans copies of your ID. Email to the address on the automated response you'll receive after filing the online application.

Scanning

If scanning the documents, please pay careful attention to the following points:

    1. Do not place the ID at the edge of the glass as it may cause the edge to not be scanned.
    2. You may convert the image to gray scale to reduce the size be please do not do other 'photoshopping.'
    3. We prefer the image be saved as JPEG (.jpg), but TIFF (.tif), GIF (.gif) and PNG (.png) images are also okay. It's best if you do not send PDF files but we will accept them. However, please do not send MS Word (.doc) files.

Digital Photos

If you use a digital camera, please pay very careful attention to the following points. To make an acceptable photo, you must:

    1. Place the ID on a white background.
    2. Make sure the document is perfectly flat. Folds in paper must be smoothed out before you take the picture.
    3. Put your camera in MACRO mode if it has one. If it doesn't, be sure the camera is not so close to the document that it makes a 'fish eye' image. (In the final image, the document must NOT have curved edges).
    4. Place the document in a well-lit place and turn FLASH OFF. If you cannot turn the flash off then be sure to take the picture at an angle so the flash does not bounce back to the camera.
    5. Make sure that NO SHADOWS are falling on the document.
    6. Make sure that all 4 corners of the document are in the image.

    NOTE: It's okay if the picture is taken from an angle and the image is skewed (trapezoidal shape). That is, it's okay if the top edge is shorter than the bottom (i.e., shaped like this: /_\ ). Just be sure that all four CORNERS of the document are included in the image.
